In our last article we looked at the overall advantages of business storage, and briefly discussed the security benefits. In this article we’re going to take a more detailed look at how using off-site storage units can deliver significant enhancements to the security of your important documents and other items.
Let’s begin by thinking about what we mean by security. We don’t just mean protection from theft/burglary – and here we need to think about not only from outside your company but potentially from the inside – but protection from the weather, fire, flooding, and other such disasters. There’s also the issue of keeping sensitive/confidential documents safe, out of harm’s way, and accessible only to authorised personnel. And there’s also archiving – maintaining documents that you need to retain for legal or regulatory reasons, or simply old files that you don’t want to throw away – we’ve probably all experienced that sinking feeling when we can’t find a piece of paper that we need!
So you can see that using secure storage units away from your usual premises can solve a number of business problems (and we haven’t even touched upon space-saving!). Now let’s take a look at each of them in a little more detail.
Theft and burglary.
It’s a widespread problem for all types of businesses, and can be particularly damaging to smaller businesses who can’t always afford sophisticated security measures. We’re not only talking about inventory either – important documents might be on someone’s wanted list! And, as we touched on earlier, a large amount of theft is internal – the cost to British business of employee-related theft is around £2 billion a year according to the Centre for Retail Research.
It’s virtually impossible to be 100% certain that a particular environment is 100% safe from all such hazards, but we’re fortunate to live in a part of the world not known for earthquakes, tornadoes, volcanic eruptions and the like. That said, the recent record rainfall and flooding in some parts of the country only goes to show that you can never be too careful. The point is, however, that off-site storage units in an environment designed to protect your items from such hazards will almost certainly provide greater security than the vast majority of business premises … which aren’t!
If you’re a small business, you probably have a safe, but how big is it and how do you decide what not to put in it? You may have documents of little intrinsic value but which may be confidential or sensitive. Knowing that they are off-site and locked away securely – and that technologies like CCTV and access logging are in operation – can help to put your mind at rest.
We’re back to the issues of having to store old documents, saving (costly) space, and knowing exactly where they are when you need them. Yes you could put them in an old filing cabinet stuck away in a corner somewhere … but wouldn’t it to be better to have them neatly stored, off-site but accessible, in carefully labelled storage units … and make better and more profitable use of the space?
You know it makes sense!
Dedicated, high security, access-controlled storage units with 24-hour monitoring available and BT redcare – designed to provide security against a whole range of scenarios … surely the perfect solution to a host of everyday business challenges? Especially when you factor in the cost-effectiveness and the space-saving!
